WHEREAS, each City Councilperson has a need £ran tine to tine for the use of office supplies, needs copies made and distributed to various City departrrents 11nd other Council persons; 11nd WHEREAS, each City Council person is expected to cx,rrespond with citizens 11nd others during his/her term of office; and WHEREAS, each City Council recognizes that it has not appropriated funds to hire City staff for Council secretarial use, and does not intend to provide eecretarial assist11nce to Council members, except upon an occasional basis; NCM, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL Of' THE CIT:{ Of' Ds"c.E.W:JOD, COLORADO, adopt the cx,uncil policy on the use of office supplies and city secretarial staff shall be as follows: Section . l. The City Manager shall make a-,ailable to all members of the City Council, such office supplies as are reasr;nably needed to carry out the duties of City Councilperson, said of flee supplies to include paper, envelopes, c~uter and phone line, printer and appro;,riate software c:aipatible with the City systems, the reasonable use of the copy machine, 11nd other supplies as may be reasonably required fran tine to tine. Office equiprrent, telephone, desks, file cabinets , chairs, etc. shall not be provided to Councilpersons. The City Manager shall have available for Council the occasional use of office space in City Hall for typing, rreetings, ~Le. us needed. Section . 2 . City Secretarial staff will not be available to CouncilP"..rsons for dictation, canposing letters , or 11nswering mail, sending t hank you I s or answering queries or other secre tarial duties, except upon an occasional basis. Each Councilperson shall be e'<PE!Cted to take care of his/her 0-11 correspondence withcmt City secretarial assistanc!?. Postage in the mrount of $50.00 per year per Council Person will be paid by the City . Addressed letters brought to City Hall "'ill be posted by staf i. Section 3. The Mayor shall not have a fixed p-stage budget, except that he/shesliaITsul:tnit copies of all letters se.,t 0'1er his /her s ignature to Council for it's information. The City Manag.s:: or Mayor or cc··ncil may designate staff to canpose or !)re;,are letters sent on behalf of ti 1e City over the mayor's s ignature.
