Call to Order City of Englewood CULTURAL ARTS COMMISSION Minutes of September 5, 2012 The regular monthly meeting of the City of Englewood Cultural Arts Commission was called to order at 5:45 p .m. by Chairperson Kristy Reed at the City Council Conference Room at the Civic Center building , 1000 Englewood Parkway. Present: Absent: II. Review of Agenda Kristy Reed , Chairperson Donna Schnitzer, Vice Chairperson Tamara Emmanuel, Commission Member Carly Sellaro , Englewood High School District Liaison Amy Martinez, Alternate Commission Member Jerrell Black , ex officio Joe Sack, Recreation Manager Brianna Carey, Commission Member Kaylene Mccrum , Commission Member Karen Kenney , Commission Member Maggie Stewart , Commission Member Jill Wilson, City Council Liaison Kate Dulaney , Englewood School District Liaison Mary Lynn Baird, Englewood School District Liaison There were no changes or additions to the agenda . Ill. Approval of Minutes Chairperson Kristy Reed asked that the minutes of August 1, 2012 be corrected to show that she was present at the last meeting, not absent. Chairperson Reed asked if there were any additional changes or corrections to the minutes of August 1, 2012. There were none. The minutes were approved as amended. IV. Introduction of Guests There were no guests present. V. New Business A. Recreation Manager Sack discussed the upcoming presentation of Ferdinand the Bull which is taking place at 9:30 a.m . on Thursday, September 13. Sack said that around 1000 kids from Englewood Public Schools are expected to attend . Commission Member Tamara Emmanuel mentioned that the performance group just performed at the Taste of Colorado this past weekend. Commission Member Schnitzer asked what ages the performance is geared towards. Sack replied that it is appropriate for all ages, and that grades Kindergarten through 5th will be in attendance. Sack also stated that Mayor Randy Penn will be narrating the English portion of the performance . Schnitzer asked Emmanuel where the production company is based out of. Emmanuel replied that the performers are originally from Theater in the Park in Denver, and that the performers are all from the Denver Metro area. Reed asked if there was any need for help with the performance. Sack replied that if anyone wanted to volunteer, to contact him. He said that most of the work will be ushering the kids around and keeping the event organized. He also mentioned that in cooperation with the Englewood Library , the younger children that will be attending were asked to make tissue paper flowers and bull horns to wear during the performance. VI. Old Business A. Recreation Manager Sack gave an update on the Hampden Hall Projector Project. He said that the City has received 3 bids for the project. He stated that the next stage is getting together all of the supporting divisions to collaborate and confirm the monetary donations for the project. Once that has been completed , a bid will then be selected. Sack said that all of the monetary donations have been verbal , and that now those verbal agreements will be put in writing. Sack told the Commission that once the materials arrive the whole process will take about 6 weeks to complete. Ex- officio Jerrell Black said that the issue is the scheduling of Hampden Hall and the City does not want to interfere with events taking place in Hamden Hall in the next few months . Reed asked if the schedule for Hampden Hall is busy. Black replied that around the holidays the Hall is busy , and that the City provides various trainings for its employees in the Hall. Sack explained that moving the sound and lighting controls without disturbing events scheduled in the Hall will the biggest obstacle. Emmanuel asked who will have the ability to operate the new system. Sack replied that there will numerous staff trained on operating the equipment. Reed asked if someone with training will have to be present at every event in Hampden Hall. Black replied that there are guidelines in place that state that a qualified staff member must be present at all events in Hampden Hall. Sack added that the Library will be in charge of scheduling all performances and events in the Hall and that they will ensure that someone is present who knows how to operate the new equipment. B. The business of Community Garden Art is being deferred to next month's meeting since Commission Member Maggie Stewart is not present. VII. Committee Reports A. Emmanuel asked about the Lee Milman artwork "The Bagel " that she would like the Commission to buy as a piece of public art . Reed asked Emmanuel if she had a proposal ready for the Commission to look at. Emmanuel asked if the discussion on the art work could be deferred for a few months . Emmanuel replied that she could bring it in two months or so, if she was ready . Black stated that when she 's ready, it can be added to the agenda or removed if she was not ready to present it. B . Schnitzer gave an update on the August Parks and Recreation Commission meeting . She briefly discussed the Innovation sheet for 2012 that was presented at the Park and Recreation Commission meeting. Black informed the Commission that the Innovation Sheet is a budgetary analysis (cost savings report) that shows grant money, donations and volunteer hours that is given/donated to the Department of Parks and Recreation. The sheet is compiled to quantify the amount of money saved each year through grants, donations and volunteers. Sack apologized for not including it in the packet for this month's meeting and said he will include it in October's packet. Schnitzer continued to update the Commission on Duncan Park. The irrigation and sod have been installed. She also wanted to mention that the Fall Fling is coming up on October 13. The event will take place at Civic Center and the cost is $50 for a sit down dinner which features a silent auction. Donations are also accepted. She said that this is the key fundraiser for the Englewood Education Foundation, a private entity, which provides scholarships to Englewood School students. VIII. Upcoming Events Sack informed the Commission about the Festival of the Bastardino and Doggie Plunge that is taking place this Saturday, September 8 at Pirates Cove . He explained that this event is a fund raiser for Freedom Service Dogs and is open to the public. He described the events that will be taking place, such as diving dogs and Frisbee dogs as well as multiple dog-related vendors . Reed asked about the services that Freedom Service Dogs provide . Discussion followed on the services, training and types of dogs in the program . Sack also reminded the Commission about the upcoming Art Exhibit that is sponsored by the Parks and Recreation Department. The event is open to all ages and is for amateur artists only. He said every year they have about 65 pieces of art in the exhibit. It is $8 an entry and artists can enter up to 3 pieces. The awards are based on popular votes and there are a variety of awards given out. IX. Director's Choice Black wanted to let the Commission know that he spoke with former Chairperson Eric Bertoluzzi. Bertoluzzi wanted to thank the Commission for the card he received . Schnitzer asked how the Commission would get their Englewood Arts updates now that Bertoluzzi is no longer on the Commission. Black responded that he asked Bertoluzzi about that and he advised that the Commission pull information from the website, that it would be the easiest way to get information. X. Commission Member's Choice Alternate Commission Member Amy Martinez asked how Fun Fest went since she was absent from the last meeting. Sack informed her that about 3000 people attended the event and that the Cultural Arts booth was busy all day. Black mentioned that the City of Englewood and the Department of Park and Recreation need to be cautious of the size of the event in the future and make sure it doesn 't get too large for the site. He said that it needs to remain a community festival. Discussion followed regarding the various activities and booths that were at the event. Emmanuel asked if the calendar art contest was going on. Schnitzer replied that the Commission will be voting on the artwork at the October meeting. XI. Adjournment The meeting was adjourned at 6:25p.m . K. Fowler, Recording Secretary
