Ela ti St ., Englewood, CO 8011 0 (303-761 -4376) i!l!;: ------------lijj'i'''' ,,-. 1·: MINUTES Englewood Public Library Board May 9, 1989 The regular meeting of the Englewood Public Library Board was called to order by Chairman Al Quaintance at 7:29 p.m. PRESENT: REGRETS: ALSO PRESENT: Al Quaintance, John Peterson, John Gray, Virginia Johnson, Joe Rathburn, Dorothy Totton Larilyn Ashlock, Mary Dounay, Bev Simon, Alex Habenicht {Council Representative) Sharon Winkle, Director of Library and Recreation Services, Donna Gottberg, Recording Secretary Roll call was taken and a quorum declared present. There were no scheduled or unscheduled visitors. Mr. Quaintance turned the meeting over to Sharon Winkle for the Director's Report. Ms. Winkle asked members present to complete a pretest administration of a survey developed by the Planning Committee. Other groups will also pretest the survey. She presented background regarding development of this survey. The survey will be administered to Englewood residents who use the Library, to help plan for Englewood services. The Bookmobile will have a separate survey for Bookmobile users. The Board felt comfortable with this pretest form. Discussion followed. The survey forms will be administered at the Main Library {approximately 400) on days representative of public use; Saturday, May 20 from noon to 3 p.m., Monday, May 22 from 5 to 8 p.m., and Wednesday May 24 from 10 a.m. to 1 p.m. Virginia Johnson, Joe Rathburn, Al Quaintance, Dorothy totton and John Gray volunteered to help. Complete information as to how to administer the forms will be sent to the volunteers . 9 E .... Ms. Winkle reminded all Board members of the all day Planning Workshop on Wednesday, June 21, 1989 with both staff and Board in attendance. The meeting will be held at the golf course meeting room. Refreshments and lunch will be served. Ms. Winkle gave a brief background on the planning project from its beginning. Ms. Winkle will need a definite answer on attendance for the workshop by the next Board meeting. Ms. Winkle gave a preliminary report on the VIP (Volunteer Information Provision) Program which took place during the tax season. There will be an evaluation session with the 7 participants in the program at 5 p.m on May 24th. There was a preliminary evaluation of the Sunday services. There seems to be a steady volume of patrons using the services with no particular pattern developing. Director's Choice Some of the responses to regarding the Bookmobile Section of the Library. Englewood Schools. Councilman Clayton's survey question have been posted in the Children's These are from children attending Councilman Clayton has expressed a series of concerns regarding the Library's planning process. Mr. Clayton stated he felt the Board was excluded from participation in the planning. Ms. Winkle asked the Board its feelings on this matter. The Board felt they were well-represented by Mr. Quaintance and Ms. Totten on the Library Planning Committee. Ms. Winkle has sent a memo to Mr. Fraser listing alternatives which may address Mr. Clayton's concerns. Chairman's Report After discussion, it was decided that the Board would host an Open Forum at its June meeting in order to solicit input regarding Library services prior to the scheduled Board Planning Workshop. An abbreviated Library Board meeting will begin at 6:30 p.m. on June 13 and the Open Forum will begin at 7:30 p.m. Invitations will be sent to Council members, community institutions and organizations, and residents. Flyers will be available at the Library and Bookmobile to inform the general public of the Open Forum. 89-12 MOTION: That the Board host an Open Forum for the general public on June 13, 1989. Moved by: Virginia Johnson Seconded by: Joe Rathburn Discussion followed. Motion carried. Mr. Quaintance tabled plans for an August Open House. Members Choice Mr. Quaintance noted that Ms. Habenicht's 2 daughters were in "South Pacific" presented at the High School. It was an excellent plan and the 2 girls were exceptional. • • • • • • Joe Rathburn ran into Bruce Hogue (former Board member) and noted that Mr. Hogue will be going to New Zealand as part of a teacher exchange program. The Board asked that a card congratulating Bruce on his teaching achievement be sent. John Gray want to make Council aware of the responsibilities of Board members, especially as they concern planning for Library services. Dorothy totton enjoys her part in the planning process and noted that it takes a lot of time and effort on the part of all involved. There were no committee reports. The Statistical Report for April was briefly discussed. Ms. Totten was absent from the meeting of April 11, 1989. This should have been noted in the meeting minutes. 89-13 MOTION: That the Minutes from the meeting of April 11, 1989 be accepted, as amended.
