Elati St ., Englewood, CO 80110 (303-761-4376) \ MINUTES Englewood Public Library Board June 13, 1989 The regular meeting of the Englewood Public Library Board was called to order by Chairman Al Quaintance at 6:20 p.m. PRESENT: Al Quaintance, John Peterson, Larilyn Ashlock, John Gray (arrived at 6:35 p.m.), Mary Dounay, Virginia Johnson, Joe Rathburn (arrived at 6:35 p.m.), Bev Simon, Dorothy Tatton ALSO PRESENT: Sharon Winkle, Director of Library and Recreation Services, Erica Byrne, Council Member, Alex Habenicht, Council Representative to the Library Board, Lynn Roberts, Communications & Customer Service Consultant, Joan Hinkemeyer, Information Services Administrator, Donna Gottberg, Recording Secretary Roll call was taken and a quorum declared present. There were no scheduled or unscheduled visitors. Mr. Quaintance turned the meeting over to Ms. Sharon Winkle for the Director's Report. Ms. Winkle shared information on the recent Library User Survey. She gave background and explained how the figures were arrived at on the survey. She introduced Lynn Roberts, Planning Consultant, who gave more in-depth background on the planning process and how the compilation of the survey was achieved. Ms. Roberts commented that the survey affirms the direction the Library is striving toward. Ms. Winkle gave a profile of the "typical" Main Library user and a "typical" Bookmobile user. This will be discussed further at ,the all-day planning workshop on June 21st. The agenda packet for the Board meeting included 3 working drafts of profiles as a report on Phase II of the Planning Process. These profiles highlight the information about the Committee, the City, and the Library which will be used for planning purposes. The survey figures can now be included. Ms. Wink le urged all wh o are able to attend t he wo r kshop on June 21 at t h e Golf Co u rse beginning at 8:00 a.m. Ly nn Rob e rts discussed the preliminary a g enda. The goal of t h is works h o p is to draft a mission statement (not over 100 words) that expresses the major service strategy of the Library for 1991-1995. After the mission statement has been adopted the Planning Committee, Board, and staff will continue with development of goals. Director's Choice Ms . Winkle distributed a memo from ' Roger Fraser, city Manager, transmitted to City Departments regarding the Budget Preparation f or 1990. She also noted materials expenditures for 1989 mu st be de creased in order to compensate for funds needed to cover increased salary and insurance costs which were not included in the 1989 budget. Discussion followed. Bu dget information is being prepared now. She will have figures available to di s cuss with the Boa r d in July. Information was distributed regar ding the Summ er Reading Program. The program was prepared by Penny Lommen and will b e gin next week. • The Eagles Auxiliary #3241 has given donations for large pr int books over the years. The Auxiliary helped with a propos a l at • the State level which will provide the Library with $1000 for the purchase of additional books on tape. Erica Byrne, Council Member , is interested in Children's magazines. She has inquired about Library subscr iption s and their displ ay for public use. Two memos from Ms. Byrne and two responses from Ms. winkle were distributed for the Board's in f ormation. Erica Byrne suggested that the Board should develop the Librar y's budget p r oposal. It was the general consensus of the Board t hat it controls b u dget decisions through the pla ~~ing process a n d throu gh discussion of major budget items. Chairman's Choice No committee wil l be appointed for preparation of the 1990 Board Bu dget. The Budget proposed for 1990 will remain at the 19 8 9 lev el per City Man a ger Fraser's direction. The Board a greed they would like to have a tour of the library facility. Th is will be included with the July or August me e ting. Mr. Quaint a nce requests that areas of the Library be identif i ed ,with the staff members that work there. This was t h e first mee t ing of its kind in the state. It was a n info r ma tive meeting and she wi l l report more on this at a la t er meeting. Bev Simon thanks the Library for its support of the Englewood Historical Society. She presented a book by Ron Ross, "Your Family Heritage,'' to the Library this evening to be included in the Library collection. Ms. Winkle accepted the book with gratitude and noted there will be a bookplate placed in the book. There were no Committee Reports. The Open House plans will be discussed at a future meeting.
