Elati St ., Englewood, CO 80110 (303)762-2560 MINUTES ENGLEWOOD PUBLIC LIBRARY BOARD December 11, 1990 The regular meeting of the Englewood Public Library Board was called to order at 7:33 p.m. by Chairman John Peterson. PRESENT: John Peterson, Larilyn Ashlock, Doug Cohn, Jeff Davis, Virginia Johnson, Joe Rathburn, Dorothy Totton. REGRETS: Mary Dounay ALSO PRESENT: Hank Long, Library Director, Donna Gottberg, Recording Secretary Roll call was taken and a quorum declared present. There were no scheduled or unscheduled visitors. Chairman Peterson turned the meeting over to Director Long for the Director's Report. Mr. Long noted he had a meeting with Dave Martinez, Purchasing Agent, and Pat White, Service Center Supervisor on November 29 to put together a specification package for the new Bookmobile vehicle. A Request for Proposal (RFP) will be compiled in late January. There are two companies involved in manufacture of such a vehicle and they hope to be able to go out in the field and see finished vehicles in use. Steve Thompson, Data Processing Supervisor and Hank met with Englewood Public School representatives on November 16 to discuss placing 1 EPL terminal in each of the 9 public schools. Schools are receptive to the idea but want to begin small (only 3 or 4 placed as a test). Discussion will continue with a meeting planned for January. Next week Mr. Long plans to meet with the principals of 2 private schools in the area to discuss placing EPL terminals in those schools. He hopes to set up monthly meetings between the Library and private and public schools. Bookmobile drivers for the new vehicle will need to have a commercial driver's license test. The City will be set up to administer tests in 1991, thus giving us one year (1992) to comply. The new vehicle will be over 26,000 pounds thus the need for the commercial license. Director Long plans to change the schedule for the Bookmobile stops, not eliminating any stops, but modifying in order to comply with union guidelines of giving breaks and lunch time for employees. He plans to run the vehicle Monday thru Friday year round, having more personnel on hand during that period and having access to the Service Center in case of a breakdown. Two full-time persons will operate the Bookmobile. Discussion followed. As information, the Bookmobile won second prize in the Clown Category in the Holiday Parade. An in-house posting was made for the Library Assistant position (Circulation/Bookmobile). There were 3 applicants. Interviews are planned for next week and the position will begin effective 1-1-91. The Librarian I position was advertised, with inadequate results. The position will be re-advertised with a deadline of 1-11-91. Director Long noted that the Food for Fines program was going well as was the telephone renewals. The contract renewal from Arapahoe Library District (ALO) for reciprocal borrowing was presented at the City Council meeting. It passed on first reading. Second and final reading will be on December 17. The participating Dynix Libraries have withdrawn from IRVING as of 1-1-91. There is a meeting planned for December 13 with the Colorado Dynix Libraries (8) to discuss future networking options. Steve Thompson, Data Processing Supervisor, plans an upgrade of the Library's PRIME computer in January/February. After upgrading, the Library can upload the latest Dynix release and give us capability of more ports. Mr. Long hopes to have the dial-up system available to the public in the first quarter 1991. Mr. Long brought forth a memo (sent attached to the Agenda) regarding information for the Local History Public Program scheduled for January 17, 1991. Invitations will be sent to community and City members within 2 weeks. Photos of Board members will be taken after this meeting. These photos will be displayed in the foyer under "Know your Library Board." Mr. Long has a 30 day free trial of Prodigy, used in the Library at the Reference Desk. He will be happy to give a demonstration • • • • • • for anyone interested. There is the possibility that the Library will be able to use Prodigy on the two public dialup terminals. The Aurora Friends Group passed along information regarding a program to be presented at their Central Library on January 23. It is "Teddy Roosevelt, Mind, Body & Spirit" by Actor, Author and Teacher, Ted Zalewoski. This is a free program and lasts 1 hour beginning at 7:30 p.m. Chairman's Report Please plan to attend the January Board meeting as that is when the new officers are elected. Mr. Peterson passed around copies of thank you letters sent to Lois Lighthall and Al Quaintance. He still has more letters to write thanking the community for their help in obtaining a new bookmobile vehicle for the Library in 1991. Members' Choice Dorothy Totten is very interested in Prodigy and would like a demonstration. Doug Cohn asked how we can keep the public from illegally using the Prodigy, such as charging someone else for their information and goods. Mr. Long noted that this would not be set out for public use until lockouts on such items could be made. Discussion followed . Jeff Davis asked if the Library could purchase a camcorder in order to tape programs and to be used in training. Discussion followed. Joe Rathburn asked how many Directors there have been for the Englewood Library. He suggested obtaining pictures of each one and posting them in the foyer along with pictures of staff and Board members. Committee Reports Doug Cohn and Jeff Davis distributed a draft of procedures for the operation of the Board meetings. Members asked if they could take this home and think on it before making any decisions. Discussion followed. There was no discussion on the Statistical Report for November. 90-31 MOTION: That the minutes from the Board meeting of November 13, 1990 be approved as presented.
