PRESENT: Mark Adams, Trish Elley, Margaret Freeman, Tom Kruk, Iain Lumsden, Council Member, Randy Penn, and Youth Member, Brianna Carey. ABSENT: Yvonne Russell (excused), Julie Grazulis . Also Present: Hank Long, Library Director and Deb Parker, Recording Secretary. 09 -13: That the minutes of the meeting of August 11 , 2009 be approved as written. Moved by: Margaret Freeman Seconded by: Trish Elley The Motion passed unanimously. FRIENDS OF LIBRARY M'fr. Long shared that Bill Clayton's travel program on South America will be Thursday at 7:00 pm in the Community •oom. Mr. Long shared upcoming programs including Veterens displays for the month of November by the 8th Air Force and City Manager, Gary Sears . MONTHLY STATISTICAL & FINANCIAL REPORTS Mr. Long shared that the hard copies are still available at the meetings as well as through email. Is everyone still happy with all the information? Mr. Adams would like to see us continue with the emailing of the majority of the information due to our cost savings and convenience. Reports through email are desirable to the entire group. Ms. Freeman mentioned that the Jobs Kiosk reaches out to more than our citizens and is a nice ammenity to have that costs the library nothing. Mr. Long looks to keep this as long as possible . OTHER OLD BUSINESS Mr. Long would like to know how emails are working for all other information? The concensus is yes, it works best for the group . Mr. Kruk feels that he is more readily informed. Mr. Long asked for a group decision. Concensus is that email format is more desirable. Financials will be available at meetings, along with Agenda, Minutes and EPL Monthly Stats. Email reminders were requested to remind Board of the Council minutes when available on-line. Mr. Long shared that the packets are much smaller now and we have already gathered that the paper and postage are much less. Mr. Kruk suggested that a smaller enveleope would be desirable as well . The Board agreed, and Mr. Long and Ms. Parker will send packets in smaller envelopes beginning in November. NEW BUSINESS Library Board Chair .1r. Adams had nothing to share at this time -1 - Library Director's Report Mr. Long shared that the "Englewood Reads" Program will go to 78 classrooms encourages reading by kids. Each .lassroom will receive a book that the two Children's Librarians take to as a momento of the visit. Mr. Long passed around copies of the books for the Board to review. Friends and Library Board have in the past split the cost for this program. Mr. Long asked that the Board approve the spending of $500 for the books. The Friends have already given $500 . 09 -14 -Motion to move that the Library Board give $500.00 to assist in the purchase of the books for the Englewood Reads Program. Moved by: Ms. Freeman Seconded by: Mr. Lumsden. The motion passed Mr Long thanked the board on behalf of the Childrens Librarians . Mr. Long shared the Childrens Librarians' frustration with some of the schools lack of involvement, and that he and Carol Wilbur met with them to discuss this today. Decision was made to back off a bit in the future with hosting in-library programs for classes, but we will still go out to the schools for the three programs as in the past. The schools will receive general invitations rather than specific programs for them. Mr. Adams asked that there will still be outreach to the schools through the three programs . Mr. Adams also stated thtat the onus is with the schools for the participation. Mr. Long said there will be continued efforts made to share our programs with the schools. Mr. Adams stated that the economic front is probably an integral part of the interference . People are feeling over extended, and it is more difficult to get any involvement. Mr. Long shared that the librarians deserve to feel diappointed but not to take it personally. Mr. Kruk asked why we are not getting better marketing material from the authors as their .ebsites are great? Maybe i f we could reach out more for marketing, Mr. Kruk suggested. Mr. Long will share this suggestion with the librarians . Mr. Penn shared that he feels the schools should share more responsibility on this. Mr. Penn is willing to share the infomation with the City-School Committee. Mr. Long feels the City Council was very supportive of the library and its programs during the recent budget meetings . As of now the Library will stay open all 7 days. Mr. Penn shared that the council even had a difficult time to accept the cut to the collection. As of now, the only cut was to the collection budget. All other posibilities offered by Mr. Long were not accepted as necessary at this time . Ms. Freeman asked about the transferred monies from fund balances. Mr. Penn shared that the monies are utilized for disaster type situations but nothing from operation capital will be touched. Mr. Long shared that the Englewood Herald mis-spoke by a sizable amount. Council has been taking care of the inquiries . OTHER NEW BUSINESS none MEMBERS ' CHOICE • • Mark Adams -Thanked Mr. Long and Council you for keeping the Library open 7 days and full hours . He appreciates the efforts made to make it work. He shared that there are still great examples of classic books available to our children. He shared that he is glad that in the economic climate, we are where we are . He is nearing the end of his ski patrol leadership role, and will soon be a member but no longer the leader. The skills that he has been able to use at those meetings have been due to his growth on the Library Board. He thanked the Board for all the shared knowledge that made him a better leader. • Thomas Kruk -He is now working at Chipolte in Aurora and on the road to getting his own store. He enjoys getting back in the restaurant business. Going to a job fair made all the difference in getting the position, and he highly suggests it to anyone who may need it. -2 - • • Trish Elley -Loves the emails from Mr. Long and enjoyed being a part of the photo judging for the recent Employee Photo Contest. • Margaret Freeman -Thanked Mr. Long for keeping the Board aware of staff efforts. She also shared that she is interested in chairing the Board in the future. • Ian Lumsden -Appreciates that Mr. Long sends emails of encouragement and thanks for the staffs efforts. He also pointed out a poem in the book called "Old Hank". He went to the Rockies play-off games , and it was cold and disappointing. • Randy Penn -He is learning the magic word "no". He plans to cut back so that he can do what he really wants to do. The budget process went well enough. He thanked Mr. Long for all his efforts and shared that he is great asset to the budget process and to the Director/Council team. There is a contract on a parcel in the MacLellan reservoir, and it will eventually return money back to the city. Not too much else other than waiting for winter so he can relax . • Nathan Baragan (Guest and Former Youth Member) -He shared that he is writing an article for the Pirateer about Kindles at the school. He had an interview for an engineering school. He was nervous , but it seemed to go well. Harvey Mudd is the school of interest. • Brianna Carey is looking at colleges and for a major. Her majors of interest include Criminology and Chemistry. • Hank Long -Stated he joined the Library in 1984 and became the Director in 1990. Budget prep used to be twice a year, but it is now an ongoing process because it needs to be looked at all the time and is ever changing. • Deb Parker -Had nothing at this time . • djourned 8:08pm • -3 -
