Elati St ., Englewood, CO 80110 (303) 762-2560 i!il;: ,,..-------~·iii;; Call To Order/Roll Call Minutes Englewood Public Library Board April 11, 1995 . ·: The regular meeting of the Englewood Public Library Board was called to order by Chair Marilyn Brenengen at 7:03 p.m. PRESENT: M. Brenengen, M. Giffin, M. Dounay, Council Member A. Habenicht (arrived 7:10 ), S. Ostema, S. Smithers, D. Stirn, A. Leonard, S. Aigbe. REGRETS: F. Clayton, J. Knight ALSO PRESENT: Hank Long, Library Director, Joan Clayton, Recording Secretary, and Ken Haraldsen, citizen. Roll call was taken and a quorum was declared present. Scheduled/Unscheduled Visitor Ken Haraldsen, citizen was an unscheduled visitor. Old Business 95 11 Motion: That the Minutes of the March 14, 1995 Library Board Meeting be approved as written. Moved by: Sonie Smithers Seconded by: Sandie Ostema The Motion carried. Ms. Brenengen added an Agenda item. Mr. Aigbe's address and phone nLITiber are not to be given to anyone. His job is of a confidential nature, and his home phone and address are to be protected. Ms. Brenengen gave a r,eport on the Friends of the Library meeting. There was a small turnout, but those present were enthusiastic. No officers were chosen at the meeting. e , Past Board Member , Rachel Stoddard and her family volunteered to Chair the Book Sale scheduled for June 17 & 18. The next meeting of the Friends group is set for Wed ., May 10 at 7 p.m. in the George Perrin Room . Ms . Dounay reported for the Save the Bookmobile Committee. Interviews were held to hire a Bookmobile Driver, and a person has been chosen. The Englewood schools have circulated applications for Library cards in preparation for the Bookmobile coming to the schools. Training for the volunteers working the Bookmobile stops are being set up by Ms. Tatum. Mr. Long and Ms . Dounay are working out the logistics for running the Bookmobile. The Library will pay for an extra 10 hrs. of training for the new driver in order to get the Bookmobile on the road Mon., May 1. The Library will also pay for the signs to be erected at the stops so the Bookmobile will have reserved parking at each stop . On Sunday , April 23 from 1 - 3 p.m. there will be a ·welcome Back " party held in the Library parking lot to celebrate the Bookmobile being back. Special guests will be present to read stories , Adeline ( Czamey) Adams will be a special guest to tell stories , balloons will be given away , clowns will be there.and food will be sold . Ms . Habenicht has designed a bookmark which will be printed and donated by Cherry Park Health Care Facility. New Business The floor was opened up to brainstorming of ideas for publicity I public relations for the e Library . Mr . Long gave a brief overview of what has been done in the past and what is presently being done . Different things have been tried with mixed results. Press releases go out frequently to all local media , City Council , Englewood Schools , Library Board Members, City Department Heads, etc. In addition flyers and handouts are placed in the Library as well as the Malley Center, and Recreation Center. Open Houses have also been held for the public and for teachers in the local schools. Mr . Long has also attended School Nights, school staff meetings, and club meetings , as has Mary Lou Tatum and others . Mr Haraldsen spoke up and invited Mr. Long to come and speak to the Lions Club at some future date . Many ideas were brought up by various members present . These ideas included the following , not listed in any particular order or attributed to anyone in particular: Library Board Members speak to various groups in a 15 min. presentation format. Have handouts available at all times for upcoming Library programs , general information. Get information to TV stations , radio stations , Funtastic (comer of Dartmouth and Broadway), Recreation Center, Malley Center , Meridan . Look into the possibility of setting up a reading corner at Funtastic. Co-ordinate with the Malley Center to have a bus bring people to Library programs. Have more one on one PR. by Library Board Members . Have a business type card available to all Board Members which could be filled in with special event dates , invitations to programs , etc . Magnets with Library numbers on them Utilize all ideas and present methods , using different ideas for different target groups. All printing of flyers, handouts, cards , etc . cost money , need to find a printer to donate printing . As Friends Group grows more and more word of mouth advertising will get done. Give Library Board Members business cards or generic card to fill in dates to hand out. Calendar of Library Events published monthly I weekly, possibly by Friends Group. Use Bookmobile to advertise. Bookmarks on Bookmobile, at Circulation desk , reference desk. 8 1 /2 x 11 sheets of paper to stuff in books at the Book Sale to promote Library information, HARD SELL advertising. -Sonie offered to do a rough draft for the next meeting. · Grocery Store receipts , bags. Bring a celebrity to the Library to bring in non-readers , examples given were sports figures, nationally known authors. Have a doll show, quilt show, baseball card show, stamp club show, etc . Have Board Members dress as favorite book character. Have racks on walls in conference rooms with Library information. Contact publishers for posters , bookstores for posters to attract attention . Form Reader 's Anonymous -12 steps to .get you to EPL. Ms . Smithers offered to organize a HSpeaker's Bureau" for Member's to go out into the community to talk about the Library and what it has to offer. It was decided to have a report on marketing at the next meeting. National Library Week activities were discussed. All present were asked to sign up to "Read the Rockies ". This is a statewide program ongoing until Oct. 10, hoping to read 3 million books in the state. Ms. Tatum has set a goal of 10,000 books for Englewood patrons to read between now and October . Mr. Long thanked the Board for their sympathy cards . They were appreciated . The Board was asked for their impressions of the new Denver Public Library. Comments ranged from; fabulous , great , light and airy, wonderful, how a library should look to "what will it look like in several months?", the escalators need to work better. Mr . Long asked if there would be interest in visiting other libraries in the area , with particular attention to those which have been renovated lately. The consensus of those present was that it would be beneficial to visit other libraries as well as to visit with other Boards in the area. Mr. Long will look into getting a City bus to use for transport to visit other libraries . Mr. Long passed out circulation statistics generated by the computer showing what type of items are checked out and how often. These are statistics used by the staff to help in their ordering . There is also a printout of just new holdings that is available by the PACs in the public area , also at the reference desk. Discussion followed about ad hoc reports and their value . An idea was mentioned to attract the patron 's attention by listing the most popular type of books next to the Dewey Decimal mmbers on a bookmark near the PACS . Those present agreed that they would like a representative assortment of new books brought to the monthly Board meetings. Ms. Habenicht brought several periodical articles that she felt would be of interest to the Board .. The theme of the articles was that with all the transference of information to CD ROMs and discs we are loosing information. She mentioned that through the Englewood Chamber of Conmerce she is involved in a Call to the Arts program. This is a coming together of the cultural arts conmunity members to look at the need for display arenas , performing places storage of art work , etc. A meeting will be held of this group in the George Perrin Room, Tues., April 25 from 7 -8:30 p.m. All are welcome to come and share ideas. Mr. Long mentioned that Boulder Library has an Artist's Registry in their library. Mr. Haraldsen mentioned that he had come in to the library to see if there was a certain book in the collection which contains poetry that he had written. The book is titled, "Castalia ". Ms . Dounay announced that Englewood had a new Boettcher Scholar, Zach Shea . This is the sixth scholarship winner in six years for the Englewood Schools. This scholarship is extremely prestigious, based on academics , leadership and community involvement. Mr. Long apologized for the Board packets being received late. There had been some problems with temporary Postal workers picking up the City 's mail. Summary of Decisions Ms . Smithers will have a flyer mock up for a business card to use as an advertising card . She will also have information about a Speaker 's List. A few new books will be brought to each monthly meeting. More ways to publicize the Library will be explored . Mr. Long will find out the cost of printing business cards . Publicity ideas from the brainstorming will be sent out separately from the Minutes. Monthly Reports March statistics were handed out. The number of rtems checked out seems to be remaining consistent. Mr. Long shared that in talking with other library directors other libraries are seeing a decline in items checked out but an increase in the numbers of library users . Ms. Smithers added that in the past year or more she has been in the library 15 -20 times , has checked out only 1 item and asked for no reference help. Ms. Giffin suggested looking into an assessment study which would count the nlJTiber of patrons in the library using library materials. She has worked with such a study in the past called Leasner's Assessment Study. There were no questions concerning the Library Board expenditure Report for March . There being no further business the meeting was adjourned at 8: 35 p.m .
