PRESENT : M . Brenengen , M. Giffin (arrived late), F. Clayton , Council Member A Habenicht , S . Ostema (departed early), S . Smithers , D. Stirn, A . Leonard, M . Dounay (arrived late). REGRETS : S. Aigbe and J . Knight ALSO PRESENT : Mary· Lou Tatum , Outreach Services Librarian, Hank Long, Library Director , and Joan C layton , Recording Secretary, . Roll call was taken and a quorum was decf ared present. Scheduled/Unscheduled Vjsitor Mary Lou Tatum , Outreach Services Librarian Old Business 95 16 Motion: That the Minutes of the May 9 , 1995 Library Board Meeti ng be approved as written , and corrected by Ms. Leonard. The correction , on page 3 , paragraph 3 to read Ms. Ostema instead of Ms. Leonard . Moved by : Sandi Ostema Seconded by : Ame Leonard The Motion carried. Mr. Long introduced guest, Mary Lou Tatum , Outreach Services Librarian , to talk about the 1995 Summer Reading Program. Ms. Tatum began her presentation with background information concerning the planning and implementation of the summer Reading Program. Planning begins in earty February of each year with the selection by the state of a theme . At this time each library decides whether to use the state 's e theme or a theme chosen by the library. This year's summer reading program is entitled , R.0 .B.O.T.S. (Read Qll' Books Qver The S,LITYTler), chosen by Ms . Tatl.m , will run from Friday , June 23 through Friday , August 11. Ms. Tatum distributed flyers that were handed out at all Englewood Elementary schools, St. Louis School , All Souls School , the 2 Englewood Middle Schools, Englewood High School and Alice Terry Elementary School . This year Ms . Tatum visited 65 classes to explain the sunmer reading program . Programs to be held on Wednesday afternoons from 1 -2 p .m. for ages 5 and up have been planned around the ROBOT theme. Pat Valentino, Children's Librarian, has been very helpful in the planning of these programs , getting prizes for the Reading Program , and has been most instrumental in planning the culminating party on August 9. The Party on August 9 will be a Robot Carnival complete with a "Book Walk ", games and a "Dunk the Director". Board Members who would have time to help with the carnival would be welcomed . Board Member Debby Stirn said she would be available that day to help. Ms. Stirn was responsible in contacting "Dinger ", the mascot for the Rockies, and arranging for him to be at the carnival. Jane Bigelow has been responsible for planning the Young Adult Summer Reading Program called, "Get A Clue Read ". Clue cards will be given out for books read and they will be used to solve the program 's mystery . The culminating party for young adults will be a" murder" in the library on Friday , Aug. 11. All day on that Friday young adults will try to solve who was the murderer on the staff with the solution announced at the end of the day . A pizza party will be held after library closing for this group. Again help is welcomed from any Board Members who have some time. Ms. Tatum uses teens from the Recreation Departments ' Workreation Program to help with sign ups for the reading program , help with behind the scenes preparation for Wednesday programs , etc. Ms Tatum thanked Mr. Long for his help with the art work for the flyers , tallies and posters being used for the Reading Program. In addition to the Library 's Reading Program the Library cooperates with the Englewood Schools in providing a place for the schools to hold • reading enrichment" classes the month of July. Classes are held from 8:30 -10:30 in the library. This is the fourth year we have participated in this program . Sonie Smithers reported on the EPL 2000 Planning Process . In the two meetings held since the last Board meeting information has been gathered for a proposed survey, ideas for a mission statement have been gathered and lots of good discussion has ensued . A draft of a mission statement is being worked on to be presented at the next planning session in July. Keith Lance of the State Library is helping compile a workable survey to be used in house. Ms. Smithers next reported on the Friends of the Library. Flyers were handed out to be passed out in the community about the upcoming Book Sale and the next Friends meeting . These flyers were printed by Office Depot at no cost. Ms. Smithers also handed out business cards to all the Board. These cards were printed by the City at no cost to the Board . Mr. Long and Ms. Smithers have been setting up a Library Table at the Little Dry Creek concerts on Thursday evenings. The table has Library information of all varieties. Ms . Smithers needs someone to help Mr. Long June 15; Ms. Ostema volunteered. At the last Friends meeting officers were elected ; Hiram Wotgemuth is the president, Shirley Nelson is the treasurer and Michael Pyett is the secretary. e Mary Dounay reported for the Save the Bookmobile Committee. The bookmobile statistics were discussed; Checkouts vary with what is going on at the school each particular week. Week 1 of operation most children were getting library cards, another low checkout day was Field Day, or Teacher Work day with no regular school. Volunteers have been at all the stops so no stops have needed to be cancelled. Ms. Tatum has been wonderful to work with said Ms. Dounay. All the children seem to like the bookmobile driver, Margaret Vogel. Ms. Dounay said she has had community members tell her how pleased they are to see the Bookmobile back on the road . There was concern expressed that the most recent Citizen did not mention the Bookmobile in the section about EPL Sl.ITYTler happenings. The Bookmobile will be having story times during the summer at 2:00 p.m. at each of the public school stops. Ms. Leonard and Ms. Tatum are working on the themes for the storytimes at the Bookmobile stops. The themes will vary from the summer reading themes because there are not enough titles to go around. A penny fundraiser was held in the schools with the winning classes receiving an ice cream party. A total of $832 was raised in one week. Ms. Dounay mentioned that a friend of her daughter's had shown her an article about the library I bookmobile in the Englewood Companion with Ms. Dounay's picture. The committee is looking at stops for future scheduling having relied on #old" stops for the present schedule. Ms. F. Clayton reported that Denver Public Library is not serving coffee as had been thought. She has a call in to Starbucks regarding the possibility of having a coffee concession here at EPL. Ms. Giffin suggested contacting Boyers Coffee. Ms. Habenicht suggested that the Friends and I or the Save the Bookmobile Committee might do a coffee night. A short discussion followed about marketing and publicity. A suggestion was made to look into having herbal teas as well as coffee. Ms. Brenengen reorted on the Library Tour on June 6 to Denver Public Library. Lynn Linke did the tour for the Board. Those who went on the tour felt it was most worthwhile. Ms. Giffin explained in detail about the tour. The next tour will be to Koebel Library on June 20. Mr. Long will arrange a tour to the Boulder Librar)i for Tuesday, July 18. Mr. Long reported on the recent rain damage in the offices in the library.Three offices were damaged at a cost of $600. The most damage was in the Technical Services area . Lelle Holmes's office had ceiling tiles fall, water damage to her computer terminals, and her desktop. Supplies in the technical services work area were also damaged. Only 4 new books were damaged, 3 of which were on flood control. Mr . Long passed out videos which have been designated R videos. Some of these are gifts, some have been ordered. Discussion followed about whether to mark the videos with an R to denote R rating . After discussion it was decided that the videos are marked R on the video themselves and it is unnecessary to mark the outside of the boxes. Technical Services will be asked to be careful in labelling the video so that the rating is not covered . Member's Choice Ms. Brenengen passed out copies of the Denver Public Library staff newsletter that she had picked up at the Denver Library. She also had a newsletter from the Library of Congress that she and her family had visited on a recent vacation trip to Washington , D.C. Ms. Habenicht mentioned that a local group of singers from Englewood had recently signed a recording contract with Warner Brothers. Mr. long has been informally asked to write a grant for the restoration of the Gothic Theater . Ms . Stirn congratulated Mr. long on his receiving a grant of $100 ,000 for the retoration of the Englewood Depot , awarded through the Colorado Historical Society . Ms. J. Clayton mentioned that this was her 25th wedding anniversary. Ms. Giffin said she would not be at the July Board meeting because she and her husband would be in the Philippines on a one month mission trip . Summary of Decisions Ms . F. Clayton will report on the possibility of a coffee concession. Videos will not be marked with an R on the outside of the video boxes. Coffee will be provided at the next meeting. A tour of the Boulder Library will be planned for July 18. 95 17 Motion : That discussion of the statistics for May and the expenditure reports be tabled until the July meeting.
