HomeMy WebLinkAbout1996-09-10 PLB MINUTES. e Englewood Public Library Minutes Englewood Public Library Board September 10, 1996 Call To Order/Roll Call The regular meeting of the Englewood Public Library Board was called to order by Chairperson, Mary Dounay at 7:04 p.m. PRESENT: M. Dounay, M. Giffin, Council Member A. Habenicht (arrived late), R. Greiner , A. Leonard, S. Ostema, M. Schwindt, S. Smithers, and B. Williams. REGRETS: None ALSO PRESENT: Hank Long, Library Director, and Joan Clayton, Recording Secretary. Roll call was taken and a quorum was declared present. Old Business 96 -15 Motion: That the Minutes of the Library Board Meeting of August 13, 1996 be approved as written. Moved by: Ame Leonard Seconded by: Sonie Smithers The Motion passed . Mr. Long stated that no prospective bidder for the porposed Coffee Cart had shown for the library walk through on August 29, hence no bid had been tendered and the project was now on hold. Two prospective bidders had not bid due to going out of business, ( McGuire's) or placing their cart in another location, (Pafs Coffee Garden at Kaiser). Ms. Ostema asked that she be allowed to pursue getting a coffee cart business in the Library. She felt that the lateFielding Clayton had done a great deal of work on this project and Ms. Ostema would like to keep furthering the effort on her behalf. It was agreed that Ms. Ostema will contact other vendors and will report back to the Board. . Ms. Dounay said that she had talked to a representative from Conoco ( John Bennitt, e 286-2035, name and number provided after the meeting for the minutes by Ms. Dounay) concerning the gas coupons for the Bookmobile. Mr. Bennitt thought that Conoco had promised coupons of $250 for gas or one year's worth of gas. Ms. Leonard said that she had the minutes from the City Council Meeting where the presentation had been made by Conoco and that she would check these minutes as the $250 figure was not what the Save the Bookmobile Committee recalled as correct. Ms. Dounay has talked to the editor of the Rocky Mountain News and he said that it had been an oversight that the check for $5, 000 had not been sent to the City for the Bookmobile. The check will be sent or has already been sent by the time of tonight's meeting, though it had not been received by meeting time. Ms. Ostema asked if past items that needed attention on the Bookmobile had been fixed. Mr. Long and Ms. Leonard said that the scanner problem had been addressed and fixed, the back door locks had been fixed and the a new People Counter had been installed. Ms. Leonard reminded those who wished to march in the City Parade, Sat., October 26, to let her know or to sign up at the Circulation Desk. Ms. Greiner said that she and her three daughters would be marching . Ms. Smithers asked about advertising for the Friend 's of the Library's Bake Sale on the Bookmobile in the Parade. For promotional items Ms. Dounay suggested she contact Ms. Habenicht who is charge of promotional activities. Mr. Long said he would check with Ms. Tatum about a driver for the Bookmobile the day of the Parade. Ms. Smithers reported for the Friends of the Library. No meetings have been held this summe rand the next meeting of the group is Wed., September 25 at 7 p.m. At this next meeting how to spend the profit from the Big Book Sale will be decided. Ms. Leonard asked about the books she had tentatively appraised and if they had been checked for value professionally yet? They have not said Ms. Smithers. Ms. Smithers was complimented on the most recent Friends' newsletter which was included in the packets for this evening's meeting. Ms. Ostema said that the Book Discussion Group was going very well. The next book discussion is on Tues., Sept 24 at 7 p.m. The group will be discussing #Fire in The Hole" by Sybil Downing. Ms. Dounay asked if this writer was the same person who had been on the State Education commission . If so then Ms. Dounay knows the author and is willing to contact her about possibly coming to a meeting of the Book Discussion Group. Other ideas for promoting the Book Discussion Group were discussed. Mr. Long reported that the Volunteer Recognition Committee was pursuing having a memorial plaque with a picture of Fielding Clayton for the recognition planned in January of 1997. Ms. Clayton's family is helping with the choice of picture to be used on the plaque. Mr. Long received price quotes from Alpine Trophy and will pass them along to the friends of Ms. Clayton who are interested in honoring her in this way along with the Board . In looking at the August Statistical report for the Library, Ms. Leonard asked if the . e statistics reflecting checkout had ever been broken out as adult and juvenile. Mr. Long said that they hadn 't though there are computer printouts available in this manner. Ms . Ostema commented on the program numbers being lower. This is due to the different programming surrounding the Summer Reading Program explained Mr. Long. Ms. Leonard said that she had been in 15 of the 18 classrooms at Clayton Elementary with puppets to promote the Bookmobile. The feeling was that these visits should be reflected in the programs away from the Library statistical count. Ms. Tatl.ITI needs to be apprised when these visits are done by the Bookmobile volunteers. In discussing the August Bookmobile statistics Ms. Leonard noted that at Cherry Park recently a 101 year old woman had just gotten her first library card. Margaret Vogel, the driver of the bookmobile has also been helping a patron at the Clayton Bookmobile stop learn how to read. All of the Board expressed pleasure in these activities . Comments were made that it's a shame that the Englewood Herald hadn't done stories about these events . Ms. Leonard asked if the statistic concerning reference questions on the Bookmobile could be dropped from the bar chartst. Mr. Long said they could as reference questions are not done on the Bookmobile. Board Members going to the upcoming APAL debate were reminded of the date , Monday , September 23rd at ?p.m. at the Aurora Public Library. Ms. Dounay read a card she had received from Foster Clayton, Fielding's mother thanking the Board for their expression of sympathy and flowers at the time of Fielding 's death . Ms . Dounay had also received a check from Jo Gilbert, a friend of Fielding 's, to be used as a memoriam for Fielding. Mr . Long reported that the preliminary 1997 budget is set. There is a public hearing on the budget Monday , Sept.16. City Council , City Manager and City Deparbnent Heads will meet on Saturday, September 28 to finalize the budget. Discussion ensued regarding the role of the Library Board in relation to budget requests for the Library. It was suggested by Ms. Habenicht that the Board sit back and allow Council to decided. An Open House for Englewood Teachers is scheduled for Thursday, September 19 from 3 -4:30 . All of the Library Board are invited to attend. Ms. Dounay passed alongthe observation from teachers who had attended last year 's Open House that they would like a more "structured " program. Ms. Tatum is in the process of visiting all the schools and going into classrooms telling stories and letting the children know what's available at the Library. Mr·. Long said he had received a formal request from the newly formed Cultural Arts Commission , for a member of the Library Board to act as a liaison to the Commission. Ms . Leonard volunteered to do this . Members Choice Ms. Schwindt said she had nothing, however all present thanked her heartily for the treats she had brought. Ms. Greiner said she was very excited about the Library being open on Sundays. She also said that she has a new job at the University of Denver. She is now a daytime office administrative assistant. Congratulations were given her. Ms. Smithers said she is looking forward to a week's vacation in Grand Lake. Ms . Williams said she had enjoyed the recent CLA conference very much. She had attended the session on Trustees. Ms. Williams has also been accepted into the Littleton Symphony which practices on Monday nights, freeing up her Tuesdays. Ms . Ostema said that she was anticipating a fun vacation to Charolotte, N.C. to watch the Nascar races , after having had no summer. She expressed her thanks for the opportunity to pursue the coffee cart. Ms. Giffin said that she is enjoying her new position with the Sheridan schools. She will be at Ft. Logan Elementary School this year. Her foot is still doing well. Ms. Leonard had several items. She asked about the Campbell Soup Label program. This program will be revaluated for the Library in December. Ms. Leonard asked if Mr. Long had contacted the Motor Vehide License Bureau about having a kiosk in the Library. Mr. Long said that he had not had any recent contact with them but would follow up on this . Last of all Ms. Leonard wanted to know if the Library had any books written in Vietnamese. Mr. Long said no not at this time. Discussion followed about various places to obtain books written in other languages than English. The feeling of the group was that it is important for the Library to act as a way for patrons to contact other venues to get materials needed while not necessarily being the place that has all the items wanted. Ms. Dounay said plans for the Englewood Parade in October are coming along nicely. Ms . Dounay is the fundraiser for this event, having raised approximately $4,000 so far . Amy VanDyken will be this year's grand marshal! which has generated much interest. Ms. Dounay's eldest daughter, Jennifer left yesterday for Slovakia where she will be teaching English to Slovakians. Her daughter, Amy left in June for Minneapolis where she will be attending the University of Minnesota graduate school and working for 3M. The German foreign exchange student who had lived with she and her husband for the past year left in August for home. Ms. Habenicht said that the plans for the parade were very exciting. She reported on the new Cultural Arts Commission which she has been attending as a citizen. The commission is busy raising money for funding of a feasibility study. LaPorta Art Gallery has donated a Bev Doolittle print valued at $500, unframed , to the commission. When an individual donates $25 or more , their name is entered in a drawing for the Bev Doolittle print. Ms. Habenicht stated that approximately 10% of the needed $25 ,000 has been raised so far. The week of September 16 -25 has been designated " 1 in a 1,000 ." Ms. Habenicht said that she had recently been made aware of an ordinance that states if 2 or more members of a Board or commission meet in a meeting then the meeting must be posted as a public meeting. She suggested checking with the City • e . e Attorney on this . Ms. Clayton said she and her husband had recently driven their daughter, Jennifer to St. Paul, Minnesota where she will attend Hamline University. · Summary of Decisions Ms. Ostema will pursue plans for a coffee cart in the Library. Ms. Dounay will pursue the promised $5,000 from the Rocky Mountain News for the operation of the Bookmobile. Ms. Leonard volunteered to be the liaison to the Cultural Arts Commission.
