PRESENT: M. Adams, L. Cahill , C. McGovern, K. Pilgrim, C. Ransick, Y. Russell, B. Williams, and Youth Member, Jason Fish, School Board member, Mary Dounay, and Council Member, Julie Grazulis (arrived late). REGRETS : CJ Cullinan and A.Ottoson. ALSO PRESENT: Hank Long, Library Director and Joan Clayton, Recording Secretary. 03 -16 Motion: That the minutes of the meeting of July 8, 2003 be accepted as written . Moved by: Mark Adams Seconded by: Karen Pilgrim The Motion passed. The next meeting of the Friends of the Library is Wednesday, September 24 at 7 p.m. The Friends Big Book Sale will be Friday, September 12 from noon - 2 p.m. and Saturday, September 13 from 10 - 2 p.m . Mr. Long entertained questions and comments about the new monthly statistical report format. He explained that this new form better highlights public I staff interactions. This is a different way of tracking business as opposed to the tradit ional counting of only checkouts and reference questions. Those present agreed that the form was very informative. One question was to def ine "patron contact" for both the reference Desk and the Circulation staff. In the case of Circulation this includes signing up patrons for Library cards as well as Smart Cards for Internet use. At the reference desk a patron contact is considered such when staff need to show patrons how to use the ir Smart cards, Internet help , copy machine help , etc. The category of "In-House" use is new and shows patron use of materials in the Library that are not checked out , magazines , newspapers, Reference materials that do not check out , etc . It was noted that the number of non -Englewood patrons checkout was high. Mr. Rans ick passed around the table a thank-you note from one of the Englewood Writes winners. He also passed around a copy of an e-mail from Robin Ottoson concerning her son, Andrew who is thankfully recovered from his cancer. Mr . Long said that 7 patrons have completed reading 100 books for the 1 OOYears 100 Books program. -1 - There are many program participants in the 70 or 80 books finished. All present received pencils that were used as prizes for the Summer Reading Program. Office Depot donated these pencils. Gart Sports (now Sports Advantage) donated 2 mountain bikes to the Young Adult Summer Reading program to be used as prizes. Mr. Long said that the City Council and City department Heads had met on August 11 to discuss the 2004 Budget. Since Mr. Long had given the Library Board his memo of July 8 the gap had widened and figures had to be revised. This revision is reflected in the memo dated July 21. With the new figures 1 /5 of the staff has been reduced, thru attrition and reduction of work hours. The Library has only 2 full time employees; Mr. Long , Director of Library Services and Ms. Clayton , Executive assistant. The rest of the staff is part-time. In 2004 there will be 15 hours less of programming . There will be less people to do more work. $13,000 has been trimmed from the materials budget for 2004. In addition Mr. Long is recommending taking the Bookmobile off the road. This decision was made in light of maintaining the integrity of the Main Library. The Library is open 63 hours per week, serving approx. 20,000 patrons a month as opposed to the 500 served by the Bookmobile. Because of the resignation of one of the two Bookmobile drivers this summer the Bookmobile would have to operate with only one driver, which is a safety concern. Mr. Long said he was in a quandary about whether to run the bookmobile with one driver for the fall or to pull the bookmobile off the road now and bring the remaining driver into the main library. Discussion followed. 03 -17 Motion: The Library Board recommends suspending the Bookmobile operation at the close of summer. Moved by: Bervette Williams Seconded by: Mark Adams The Motion passed unanimously. • Mr. Ransick said that he felt that Mr. Long had done an excellent job presenting the Bookmobile options to • the Board. Mr. Adams asked about considering a staff luncheon. It was decided that this would be discussed next month. Member's Choice Ms. Pilgr im said her family has survived a month with her daughter driving! Beginning Aug. 18 Ms . Pilgrim begins her fall job at All Souls School in addition to working 3 afternoons per week at the Reading Center. On August 27 her son will be going to San Diego to college . Ms. Williams said she and her family had had a wonderful week at Cannon Beach on the Oregon coast. Ms . Cahill said her husband and son had returned from a trip and all is . well at her house. Ms. Dounay said that she could understand Mr. Long 's hard decisions within parameters of budget constraints. The school district is having similar discussions. School begins on August 181 h. There are 17 new teachers in the district this year. Two seats are up for election on the school board. Kathy Christie cannot run for re-election, as she is term limited. Ms. Dounay said she had heard that up to 8 people might be running for the 2 vacant seats. Ms . Grazulis said that the west Nile Virus is a real concern. There are many infected birds in Englewood. On August 26 she will be taking her daughter to Utah to college. Ms . McGovern said her niece is getting married in a couple of weeks in Boulder and up to 50 fam ily members are coming for the event. Mr. Adams said the seasons are changing, he helps with ski patrol during ski season and the f irst meeting -2 - • • • • of the season is September 4. Everything else is going well. Mr. Fish said his senior year of school starts next week. He is looking for scholarships for college. He is working on his Eagle Project, a mural of the United States on a wall at Charles Hay Elementary School. He hopes to be done in early September . Mr. Long mentioned that earlier in the day had been the annua l service award ceremony for the City. Many employees who were honored had been with the City 20 years or more . A comment was made at the ceremony that the longevity reflects that the City is a good place to work. There being no further business the meeting adjourned at 8 :10 p.m . -3 -
