Englewood Public Library Board
September 14, 2004
Chairperson , Karen Pilgrim at 7:07 p.m, called the meeting of the Englewood Public Library Board to
order.
PRESENT : M . Adams, L. Cahill, CJ Cullinan, J. Grazulis, C. McGovern , K. Pilgrim , Y. Russell, B.
Williams , Council Member, Ray Tomasso and School Board member, Mary Dounay.
REGRETS: C . Ransick (excused).
ALSO PRESENT: Hank Long, Library Director and Joan Clayton, Recording Secretary.
Before the meeting began unscheduled visitor, Diane Wray-Tomasso introduced herself as a resident of
Arapahoe Acres and the author of the book about the Arapahoe Acres neighborhood. In her capacity as
unofficial historian of the Arapahoe Acres neighborhood she is in the process of encapsulating , with help
from Roy Altenbach, archival information about Arapahoe Acres. She said it is possible that the
Englewood Historical Society will be ridding itself of some of it's collection and Ms. Wray-Tomasso
wanted to know if the Library would accept a box of archival information which would then be available for
use by residents of the neighborhood, past and present. Mr. Long said that the Library would be glad to
accept this box of information . He asked that Ms. Carol Wilbur who is in charge of the Local History
Collection be contacted to make arrangements for storage. Mr. Long thanked Ms. Wray-Tomasso for
coming and the offer of the archival information. The Board indicated their support for the storage of this
information.
04 -13 Motion: That the minutes of the August 10, 2004 meeting be accepted as written .
Moved by: Mark Adams
Seconded by: CJ Cullinan
The Motion passed.
The next regularly scheduled meeting of t he Friends of t he Library is Wed., September 22 at 7 p.m.
The Friends have a travel program on Thursday, Sept. 23 "A Week in the Clouds", climbing Mt. Hood and
Mt. Rainier with Reference librarian Susan Pellegrini and he r husband. On Thursday, October 28 Bill and
Jennifer Clayton will talk about their 43-day trip on the Silk Road.
In looking at the statistics for August, the question was asked if 20 ,000 books deleted or weeded was a
normal figure . Mr. Long exp lained that because the weed ing had not been done in depth for 10 years the
number of books weeded was unusually large but the average of 2 ,000 per year would be considered low.
A brief disc ussion followed.
• The Bargain Book sale held by the Friends of the weeded books was very successful , netting over $1,800.

Of the 20,000-weeded items approximately 1,000 were discarded for condition; approximately 2/3rds of
the items were sold, with the remainder going to non-profits and charities in the community including DAV. •
Ms. Grazulis said she loved the sale and just wished she had had more time to look at all the books. She
felt that the books were serving good purposes by going to non-profits if not sold. Mr. Long noted that a
City Employee from the finance department had taken a vacation day to help with the book sale. The
Board asked that a letter of commendation be sent to this employee for inclusion in her file. Mr. Long said
he would do this.
Ms. Pilgrim said she was glad to be back in the Board room for the meeting.
Mr. Long said that the Internet is back up and working though there are still problems. The City's IT
department has worked very hard to keep the Internet up and running.
Mr. Adams wanted to know if there is a specific library in the area where all the historical perspective
books are kept. Mr. Long said that there is no one library where all this is kept unless you consider the
Western History section of the Main branch of the Denver public Library.
Ms. Grazulis asked about the comment from a patron asking for professional journal subscriptions to be
considered. Mr. Long said that this would be too costly to do for all the various professions. Interlibrary
Loans of such journals are available to the public.
Ms. Grazulis asked about the missing Cherrelyn Horse car model. Mr. Tomasso explained that this was a
request that passed from the City manager's office to the Englewood Historical Society to the Library. All
entities have looked for the model in question with no success in finding the model.
Ms. Cullinan asked about adding Adobe Acrobat software to the terminals. Mr. Long explained that this is
impossible to do at this time due to the security risk to the City's network.
A discussion followed about the use of notaries and providing service for the public by City staff. Ms. Carol •
Wilbur is a Notary and she provides this service when she is available during her 25-hour workweek.
A brief discussion followed about staff going to the Colorado Association of Libraries conference in
October.
04-14 Motion: That $75 be made available for staff use for registration for the Colorado Association of
Libraries Conference
