Call to Order KEEP ENGLEWOOD BEAUTIFUL September 14, 2004 The Keep Englewood Beautiful Commission met in Regular session September 14 , 2004 at 6:42 PM . Present: Don Roth , Cornelia Humphreys, Ann Nabholz, Olga Wolosyn, Linda Olson , John Brick, Valerie Passerini , Jim Woodward, Jackie Edwards, Eric Crotty, Daryl Kin- ton . Absent: Dooly Gehr (excused), Lee Truong (unexcused) Staff: Anthony Fruchtl, Planner II. Approval of Minutes August 10 , 2004 Minutes of the August 10 , 2004 meeting were approved, (Mr. Woodward -motion, Ms. Nabholz -second), with the following amendments: 1. Daryl Kinton -Excused a bsence . 2. Change "committee " to "Commission" when referring to KEB. III. Volunteer Hours Volunteer hour forms for August were filled out by Commission members and collected by staff. IV 5-K Race Thank you notes and receipts will be sent to 29 sponsoring companies by Mr. Brick. Ms. Passerini and Ms. Wolosyn will provide addre ss forms for Sports Authority and Gart Sports . Ms. Edwards gave samples of the donation receipt forms to members and presented the donor list to staff. Councilperson Barrentine requested 20 race T-shirts for sponsors . Request was approved upon a motion by Ms. Olson, second by Ms. Nabholz). Mr. Woodward requested a pproval to se ll remaining T-shirts at the Englewood Recreation Center for five dollars to be added to the KEB fund. A motion made by Edwards, seconded by Kinton, was approved . H:\GROUP\BOARDS \Keep Englewood Beautiful\Minutes\2004\KEB-09-14-04.doc -------------------------- • • • Approval was given to donate one dollar of every five collected to the Englewood Recreation Center for their help in the sale; motion was made by Nabholz, second by Passerini. KEB will schedule time at the Englewood City Council meeting, October 4, 2004, at 7:30 p.m. to: • Thank council for their support. • Summarize financials including sponsor contributions and runner fees. • Summarize Commission time. Staff reiterated that all fundraising moneys and sponsor contributions should be routed through the Community Development office for efficiency, accounting, and security. Other suggestions for future races: • Create a template from Mr. Gehr's action plan. • Create a mechanism to add more volunteers to the race process. • Get information out to runner's magazines early . • Be sure the race is listed in the Parks and Recreation Department activity book. • Create a way to sponsor runners . • Add signs to barricades for traffic safety during the race. • Set a goal to have all cost paid by sponsors Next year's projected race date is August 27, 2005 . Mr. Crotty spoke positively of race outcomes and thanked commissioners for their work on the project. V. Golf Tournament Ms. Nabholz reported she had been in touch with Susan VanDyke concerning sponsors for the annual tournament. She was contacting the golf tournament chair from Littleton Western Wel- come Week to get some ideas for the KEB tournament. It was suggested that the list of 5-K sponsors could be a resource for golf tournament sponsor- ship. Ms Passerini emphasized the need for strong commitment from KEB Commission members to make the golf tournament successful. Golf tournament date is the first Monday in June (June 6, 2005). It was suggested that Safety Kleen should be contacted for support. Mr. Fruchtl will discuss with them . Household Hazardous Materials Roundup Staff reported there were 84 persons bringing HHM to the September 11 , 2004 drop-off. Commissioners reviewed the list of Commission volunteers for the September 18 , 2004 Round- up . Inform ation on alternative locations is provided to non-Littleton/Englewood c o mmunity m e m- bers who would like to drop off HHM . Sheridan and Cherry Hills have been a pproached in the past and ha ve declined to p articip ate in the Roundup. VII. South Platte River Clean-Up Bec a use both the South Platte River Clean-up and the Hazardou s Materi a ls Roundu p are sched- uled for September 18 , 2004, KEB w ill not be parti cip atin g in the Clean-up this ye ar . VIII. Staff Choice Leaf and tire drop-off d ates are October 30 and November 6 . IX. Commissioner's Choice Ms . P as serini suggested that Dooly 's schedule be used for future race preparation . Ms. Edwards suggested that time be allotted at the October KEB meeting for a by laws review and cre ate a process for 5-K and don a tions. It was mentioned that Debra Howard and S am ara Ferber ha ve resigned from the Commission . Eric Crotty will contact Lee Troung concerning his absen c e from the Commission. Christmas lights to be discussed at the October meeting. X. Adjournment Motion to adjourn made by Ms . Edwards, second by Ms . Passerini . Meeting adjourned at 8 :0 2 PM .
